Management & Administrative Services
Our Managers and Administrative Teams will:
- Guide and support the board of directors in making key decisions for your community.
- Prepare manager’s reports to keep you informed on the association’s activities.
- Organize and facilitate board meetings, including helping with agenda preparation, posting notices, conducting meetings, and documenting minutes.
- Enforce covenant restrictions in accordance with governing documents, Florida statutes, and the board's policies and procedures.
- Manage and address maintenance requests promptly, in line with association policies.
- Oversee onsite employees if applicable, ensuring productivity through effective supervision procedures.
- Regularly inspect common property to ensure the association meets its obligations for property management.
- Manage vendor relationships, ensuring vendors fulfill their agreements with the association. Our managers will also assist the board in identifying qualified vendors when needed.
- Handle association communications, including preparing and mailing required notices such as budget and annual meeting notices.
- Maintain official association records, organizing them digitally whenever possible.
- Process and mail correspondence using in-house staff or third-party fulfillment services.
Accounting & Financial Services

- Prepare the annual budget and facilitate budget workshops in collaboration with your manager and board of directors.
- Collect maintenance assessments by issuing statements or coupon books and ensure timely posting of all fees and fines.
- Manage delinquency notifications and coordinate collection efforts with the association’s collection agency or attorney.
- Process estoppel requests and rental applications in accordance with the association’s governing documents and policies established by the board of directors.
- Disburse funds for association expenses upon receiving approval from the board of directors.
- Maintain bank accounts and provide recommendations for managing reserve accounts.
- Prepare and distribute financial reports regularly and prior to board meetings.
